Do you remember when WhatsApp did not exist? We had to pay for every SMS sent and were unable to send images, audio, or use many of the other features that this app now facilitates.

Using a physical office system is like returning to the era before WhatsApp. There are currently several ways to reduce technology costs; one of the most effective methods we have found is implementing cloud-based phone systems and migrating from G Suite to Microsoft 365 as an email provider (I will cover the latter in my next blog post).

Recently, I presented a communications savings plan to a client that resulted in a 78% reduction in monthly billing (yes, 78% less on their phone bill!). It may seem incredible, but it is true—and that does not even include the reduction in electricity, internet, and other related costs.

But… why such significant savings?

When using a physical phone system in your office, you must consider several factors that generate costs and expenses, such as:

· The communication provider (and their inflexible contracts)

· Equipment maintenance (technical issues)

· On-site configurations (additional technical requirements)

· Electricity consumption, which often requires a battery backup (another contract)

· Symmetrical internet connection for on-site IP systems (an additional and costly contract)

· The hardware required, typically desktop phones (another technical consideration)

When you use a 100% cloud-based phone system, you only need to consider the following:

· The system to be installed. I recommend and install 3CX.

· The communication provider: unlike traditional systems, you can choose providers in any country, giving you more flexibility with rates and the ability to have local lines worldwide at local calling costs.

· The internet connection requirements are simple: if you can watch a YouTube video without interruption, you are ready to make calls anywhere.

· To make calls, you can use your mobile phone, a desktop phone, your computer, or all three if you prefer.
